Object of data protection

Data protection concerns personal data. Such data comprises individual details about personal or factual circumstances of a specific or identifiable natural person. This includes details such as the name, postal address, e-mail address and telephone number, but possibly also usage data. Usage data is data required for or generated from the use of the eDoc Organizer Cloud service website or apps, such as details about the start, end and scope of the use of our platform as well as log-in-data.

Collection and use of data

Automated data collection: When accessing the eDoc Organizer Cloud service website and apps, your internet browser or our apps automatically transmit data for technical reasons. The following pieces of data are stored separately from other data that you might transmit to eDoc Organizer Cloud service:

  • Credit card and billing information
  • Access date and time
  • Quantity of transmitted data

This data is at any time stored exclusively for technical reasons.

Data entered by yourself

Unless you are using eDoc Organizer entirely offline, you will need to register for eDoc Organizer Cloud service. When registering for eDoc Organizer Cloud service, we ask you to enter personal data such as name, e-mail address, etc. and to choose a password. eDoc Organizer Cloud service needs all of this information in order to create an account, to ensure that you can fully use the service. Further, we need the data and may require additional data from you in order to be able to respond to your requests, questions and criticism, to detect technical bugs, misuse and other illegal utilization of our services. Finally, you can provide additional personal data on a voluntary basis. Only data, which is needed for the performance of the contract and the delivery of our services, is obligatory. In connection with the use of eDoc Organizer Cloud service, eDoc LLC also asks you to provide payment information. This information is necessary for billing purposes.

Transfer of data

We do not share your personal data with third parties without first notifying you and requesting your consent. Only in the exceptional cases described below we can disclose your personal data to third parties without notifying you beforehand:

  • If it serves to investigate the illegal use of the eDoc Organizer Cloud service platform or is required for prosecution, personal data are disclosed to law enforcement authorities and, where appropriate, to injured third parties. However, this occurs only if there is concrete evidence of unlawful or abusive behavior. Disclosure of data may also take place if it serves to enforce General Terms and Conditions or other agreements. In addition, we are legally obligated to provide information to certain public agencies upon their request. These agencies include law enforcement agencies, agencies prosecuting proven offenses that are subject to fines, and tax authorities.
  • Occasionally we may rely on outside agencies and contracted service providers for the provision of services, for example in the areas of sending out promotional materials (only after you have given your explicit consent), file storage, settlement of payments. In such cases, information is transferred to these companies or individuals for further processing. These external service providers are carefully selected by us and reviewed regularly to ensure that your privacy is respected. The service providers may use the personal data exclusively for the purposes specified by eDoc LLC in line with this privacy policy.
  • As our business continues to develop, the structure of eDoc LLC may change in that the legal form is changed, subsidiaries, business units or components are established, purchased or sold. In such transactions, customer information will be passed along with the part of the company that is to be transferred. With each transfer of personal data to third parties to the extent described above, we will ensure that the transfer is in accordance with this Privacy Policy and the relevant data protection laws.

eDoc Organizer Cloud service stores so-called “cookies” in order to be able to offer you a more comprehensive function range and make the use of our website and apps more convenient. “Cookies” are small files, which are stored on your computer with the aid of your browser. If you wish you can prevent the storing of “cookies” on your computer through appropriate browser settings. Please note that this might restrict the performance and function range of our offering.

Website and in-app analytics and usability tracking

eDoc LLC uses Google Analytics, a web analytics service provided by Google Inc. ("Google") for website- and in-app analytics and usability improvements. Google Analytics uses so-called. “Cookies”, text files that are stored on your computer and permit an analysis of your use of the eDoc Organizer Cloud service website and apps. The information about your website- and app use generated by the Cookie (including your truncated IP address) is transmitted to a server controlled by Google in the USA and is stored there. Google uses this information to analyze your use of the website and eDoc Organizer Cloud service apps, to generate reports about website and in-app activities for website and app operators and to provide further services related to website, app and internet use. Google may also share such information with third parties to the extent it is legally required to do so and/or to the extent third parties process data on behalf of Google. Alternatively, eDoc LLC may also use proprietary software for website and in-app analytics and usability tracking.

Deletion of your data

To the extent that your data is no longer required for the above-mentioned purposes it will be deleted. In case such data needs to be retained for legal reasons, it will be blocked instead. The data will then no longer be available for any further use.
